In the multi-family community, Property and Maintenance Managers often move between communities. When this occurs, it is important to be able to keep track of where those contacts moved to. Within Stella, the system is designed to track and manage the movement of these contacts between different communities.
This article provides an overview of the following scenarios:
- Triggering the Property Contact Adjustment Process
- Manager Moves to an Existing Rent Ready Property
- Manager Moves to a Known, but not Rent Ready Property
- Manager Moves to an Unknown Location
- Rent Ready 'Property Contacts That have Changed Dashboard'
Triggering the Property Contact Adjustment Process
The process is triggered when the following scenarios occur:
- A Property or Maintenance Manager is removed and a new contact is added
- The 'Vacant Property/Maintenance Manager' flag is checked
Once triggered, the following pop-up will appear:
Upon clicking 'OK' one of the following should be selected:
- Rent Ready Property
- Not a Current Rent Ready Property
- Unknown
Based on the selection above, the process will be different.
Manager Moves to an Existing Rent Ready Property
If 'Rent Ready Property' is selected, the following additional fields will be available:
- Rent Ready Property --> Select the appropriate existing Property - Required
- As what role? --> Select one of the options. Note: Currently the system assumes that the current contact type will map to the same type in the new Property (ex. Property Manager in Property A to Property Manager in Property B) regardless of the role selected.
- Job Title --> This is an optional field
- Email --> This is an optional field
- Business Phone --> This is an optional field
- Management Company --> do not populate in this scenario. This will auto-populate based on the Property selected.
Click 'OK' to complete.
Once performed, the following will happen:
- Old data related to the contact will get removed and the portal access will be deactivated
- Data provided in the prompt above will update on the contact
- The new property will get updated with the new contact.
Note: If there was an existing contact on the new property, this contact will automatically get mapped to 'Unknown'
Manager Moves to a Known, but not Rent Ready Property
If 'Not a current Rent Ready Property' is selected, the following additional fields will be available:
- Name of Property --> Required - type in the name of the Property
- Address of Property --> Not Required
- Email -> Not Required
- Contact Type --> Not Required
- Job Title --> Not Required
- Management Company --> Not Required
Once performed, the following will happen:
- Old data related to the contact will get removed and the portal access will be deactivated
- Data provided in the prompt above will update on the contact
Manager Moves to an Unknown Location
If 'Unknown' is selected, then the following will happen:
- Old data related to the contact will get removed and the portal access will be deactivated
- The contact will be flagged with an 'Unknown' indication
Rent Ready 'Property Contacts That have Changed Dashboard'
Within the Sales Hub, there is a new dashboard available called ' Property Contacts That Have Changed.' This dashboard has three different views. These views are:
- Property Contacts that Have Moved to a Rent Ready Property
- Property Contact Moved to a Non-Rent Ready Property
- Property Contact Moved to an Unknown Non-Rent Ready Property
This dashboard is intended to be a tool for the Sales team to have follow-up conversations with these contacts at their new locations.
